vocoClinic ("we", "our", or "us") is committed to protecting the privacy of our clients and their patients. This policy outlines our practices as a Data Processor for dental practices in the UK.
1. Our Role as a Data Processor
VocoClinic provides an AI-driven patient recovery and receptionist service. In this capacity, we act as a Data Processor under UK GDPR. The dental practice ("the Clinic") remains the Data Controller.
We only process personal data according to the written instructions of the Clinic and the signed Data Processing Agreement (DPA).
2. Data We Process
We process minimal data necessary to facilitate missed call recovery and appointment bookings:
- Patient Names
- Contact Phone Numbers
- Appointment Intent (Dental Treatment Type)
- Booking Times & Dates
- Call/SMS Interaction Logs
3. Data Retention
We do not store patient data longer than necessary for the provision of the service. By default, identifiable patient interaction data is automatically anonymised or purged within 30 days of the interaction, unless otherwise instructed by the Clinic for audit trail purposes.
